5 Tasks Australian Small Businesses Should Automate First

If your business runs on Microsoft 365 — and most Australian small businesses do — you already have access to Power Automate, the tool behind most of what follows. No new software purchase required for any of these.

The licensing question, answered upfront Power Automate is included with Microsoft 365 Business plans at no extra cost, as long as you're using standard connectors like SharePoint, Outlook, Teams, OneDrive, Excel and Forms. You only need a paid Premium plan if you're connecting to non-Microsoft systems like Salesforce.

1. New enquiry notifications

When a form is submitted on your website, the relevant person gets notified instantly — by Teams message, email, or both — instead of someone having to remember to check an inbox. This alone fixes the most common cause of slow response times: nobody realised a lead had come in.

2. Approval workflows

Quotes, purchase requests, leave requests — anything that currently gets emailed to a manager and sits in their inbox can be routed automatically, with a reminder if it's not actioned within a set time. No more chasing someone down the hall to sign off on something.

3. Document and file organisation

Automatically move files into the right SharePoint folder based on their name or type, rename files to a consistent format, or generate a standard document (like a contract or onboarding pack) from a template when a new record is created.

4. Client or staff onboarding checklists

Turn a multi-step onboarding process — accounts to create, welcome emails to send, documents to issue — into a single flow that triggers when a new record is added, so nothing gets missed because someone was busy that week.

Where to start

Don't try to automate everything at once. Pick the one process that causes the most friction — usually lead notifications or approvals — get it working properly, and build from there. Most of this can be configured without writing code, using the tools already inside your Microsoft 365 subscription.
